Item: AccessLine Iowa listing

lunaKM was approached by the advertising manager of AccessLine Iowa with the proposal to list our group and/or event in their monthly newsletter. Option also includes online group listing in the directory.

Board would like to know costs before moving forward. lunaKM will collect information and report to CIPEX-board.

Item: Mischief in May

Item: Equipment Rental from Midwest Alternatives

Midwest Alternatives has offered us the rental of their dungeon equipment for Mischief in May, including the purchase of 2 new pieces for our equipment. We have to pay $100 plus the travel and entrance costs for 1 person from Midwest Alternatives.

Put to a vote: All agreed to approve rental

Item: Fetish Pageant

Concerns for needing a back up plan if no one enteres pageant. How to create interest in the pageant understanding that it will likely be small this year. Steve will promote the pageant hard this month on groups on FetLife and elsewhere. CY is going to come up with questions to ask the entered persons during the pageant.

No back up plan at this time. Will re-address next month.

Sub Item: Friday Mingle

Need to order pizza and pop for Friday Mingle. Ask local participants to bring snacks to help fill out the offering of food items.

Time decided for Friday presenters meet and mingle. Presenters will be present from 7-9pm. Mingle is open until midnight for all attendees.

Sub Item: Coolers and Beverage Budget

We need volunteers to bring coolers for ice and softdrinks/water to sell at event. CY and J have volunteered to bring coolers.

Richard will contact soft drink distributors to see if we can get a good deal on beverages for event and report back in May.

Sub Item: Logo Decided

After much deliberation and tweaking, the final design for the Mischief in May logo was approved. shawnee will get the finalized files from graphic designer to Ms Robin and lunaKM for inclusion in products and advertising.

Sub Item: Staff Medic for MiM

CY requested a staff medic for event. Several attendees are medics but it would be nice to have someone “at the ready” with gear for emergencies. Board will look into the rerquest and address it in May

Sub Item: Mischief in May Program

lunaKm presented the first draft of the event program and asked for input and critique. Will apply suggestions to final draft for May meeting.

Item: Play Party

The next Fetish Night play party will be April 6th.

CY expressed concern that CIPEX was not receiving income from parties. Reminded all board that the parties are not CIPEX sponsored – thus we do not recieve any money from them.

Item: Aids Project of Iowa

shawnee is working with the Aids Project of Iowa to get a speaker to the munch for April or May. She also requested condoms for MM event bags. Will report back to luna with details.

Item: Mischief in May Logo

shawnee was able to acquire a graphic designer to design a logo for Mischief in May. Logo ideas passed around and discussed. shawnee will take suggestions back to the designer for continued efforts. Decision will be made via CIPEX Board list.

Would need the editable file of image for KnyghtMare to change date for consecutive years’ use.

Die-cast pins brought up a concern that the logo being designed would likely have to be simplified to put on the pins. We will dicuss more once the logo is decided. Other option is to use the FetLife Ad image.

Item: MM Survey Raffle

Ms Robin wants to do a gift certificate to JT’s Stockroom as the raffle prize for returning surveys. J expressed concern that we were spending too much money on event and suggested tickets to 2013 event instead. Decision tabled until Ms Robin could be in attendance.

Item: MM: NLA-I DVP Postcards and brochures for participant bags

Luna recieved postcards for event bags. Other reading materials found online (brochures) would have to be printed off and assembled using group funds. Voted to not print off additional material and will use what is provided.

Item: Fetish Pageant

Luna raised concern that there have been few entrants into the pageant thus far. Asked if a backup plan should be in place if this flops. Tabled until April.

Item: FetLife Ad

FetLife ad results were dismal. 225 clicks for 750,000 impressions. Tracking wasn’t enabled on the site to see if any of those clicks became registrations, but 10 people registered during the month the ad ran. Cost to run ad was $150. Board voted to not continue the ad for the next cycle.

Item: Swing Village Website

J now manages a group on Swing Village for CIPEX event promotion. Only he, mist and Jen can post in this group. This will help promote group cross-over for events.

Item: Novice Orientation

It’s time to start planning a date for April for the next orientation. sweetK will work with the other leaders and schedule a date. Will get back to us for April meeting.

Topic: Mischief in May 2012

Place place will have a littles area and a take down area. Plans to map out play space for future meeting. Discussed needing to borrow more equipment to outfit dungeon area.

Requested J promote the Mischief in May party passes to Play party attendees in March.

Ms Robin is looking at event pin options for this year. Has possibility of two different styles/vendors. Turn around for die-cast pins is 3 weeks. Need design so we can decide on a vendor for them.

lunaKM will contact NLA-I Domestic Violence Project to request representative/documentation for MM2012.

Idea presented to add a raffle prize to event surveys so that we get them returned. Approved, will come up with raffle prize for Mischief in May surey.

lunaKM to send list of possible sponsors from Pain on the Plains handout to Shawnee for Mischief in May promotion.

Ms Robin will get a list of confirmed vendors to lunaKM to add to the Mischief in May website.

Fetish Pageant prizes will be sash and 2 free tickets to Mischief in May 2013.

Topic: Traveling Member Packets

Plans to put together packets for board members/interested others to have group information for when traveling to other groups/events. Need prices for business cards, Mischief in May postcards, welcome letter printing and the envelopes.

Topic: Event Policy for Poor Behavior

Discussion occurred about what the group stand is for bad behavior at a group sponsored event. It was decided that the person would be removed from that particular event and if the incident warranted it, the board would make a decision on the length of suspension of that member.

Topic: January Novice Orientation

The first orientation went very well. 4 people attended. Plans to schedule next one for April.

Item 1: Postcards for MMIII

lunaKM proposed making arrangements for the Board to attend local/regional events with postcards to hand out to the other groups. Also should contact neighboring states about distributing postcards at events.

All board members are asked to make contact with groups they are affiliated with to see if they will pass out MMIII postcards for us.

lunaKM will order 500 more postcards to handle demand.

CY would like CIPEX to make postcards after the event as “save the date” cards for next year’s event for conventions we may attend after this year’s MMIII.

Board voted to create and buy postcards for this purpose once we have a date for next year’s event secured.

Item 2: Ad on FetLife

Cost of ad is $150/mo for 750,000 impressions, can be filtered by location and gender. It will cost $20/ad for 2 ads to be created by their graphic designer.

Moved to revisit in February and then decided to go ahead with ad creation ASAP. Will make list of states we want to show the ad in for first month. Invoicing will be done via Paypal to our group/event email address.

Item 3: Amend By-Laws Vote

December board meeting decision to make an attendance requirement for board members should be added to our by-laws. Motion to approve change in by-laws raised by lunaKM.

Discussed making a clause about extended absence and board membership being up to a majority vote of the board if neccessary in the case of illness or unforseen circumstances on a case by case basis.

Item passed. By-laws updated 1-18-12.

“Continued service on the board is contingent on attendance to business meetings of at least 75% in one year. Exclusions from attendance requirement for Board membership can be brought to consideration of the Board on a case by case basis if extended absences may cause a vacancy on the Board.”

Item 4: Play Party

Jay has booked March 2nd as the next play party.

An issue was raised that no tickets for MMIII were raffled off at January Party. Jay will make sure that tickets are raffled at March party.

Joy raised an issue that safewords/signals can not be heard/seen at parties and suggested a light system.

Board reminded Joy that parties are not CIPEX sponsored adn we are not responsible for behavior or safety of participants at parties and to bring concerns to party hosts.

Item 5: Board Member Packets

CY brought up a need for group packets with CIPEX information so that when members visit other groups they are equipped to talk about our organization. Ideas for items are Mischief in May postcards, group business cards and copies of the CIPEX welcome letter.

Board will work to put something like this together in the near future.

Item 6: Treatment of Newcomers

Joy is concerned that we as a group are treating newcomers as novices even if they have experience elsewhere. Discussion raised the point that newcomers need to let us know they are experienced or we will treat them as novices. We also want to remain welcoming to anyone attending a CIPEX event. Reminders were made that board members should be greeters and make themselves available at events for people to ask questions and be comfortable.

J raised concerns with attendance and participation of Board Members. It was discussed and agreed that in order to stay on the board annually member must attend 75% of board meetings (3 absences allowed), participate on committees, volunteer when available for other work group may need and make an effort to meet and greet everyone at munches.

Item: CIPEX.org website

lunaKM suggested moving the website to Kinky-Blogging.com where hosting would be free. lunaKM would move information from existing site and has volunteered to help maintain the new site. ad_loc2 has also volunteered to maintain the site.

lunaKM will work with Ms Robin to get Domain changed once the information has been moved and the site approved by board.

Item: Online Board Communication

lunaKM raised a concern that there needs to be a way to communicate as a board away from board meetings. A private Yahoo group would fit that need. All agreed. shawnee volunteered to create private group for board.

Item: Mischief in May Updates

lunaKM requested a list of items currently donated for Silent Auction to place on website. shawnee will email list to lunaKM for website.

Vendors- Ms Robin reports we have no paid/confirmed vendors, but many interested. Once they are paid Ms Robin will get lunaKM the information to place them on the website

Sponsors- shawnee, Sponsors chair, has sent out emails about sponsoring Mischief in May. She is awaiting return messages. She will continue searching for sponsors.

Item: Novice Orientation Meetings

Kristyn reports that she has yet to schedule the location for the Novice Orientation but will do so this week and get that information to lunaKM to post an event notice. We still need several board member volunteers to rotate attendance for Novice Orientation. 2 Board Members should be present at orientations.

UPDATE- Novice Orientation date has been set for Jan 12th.

Item: Mini Events

With the success of November’s mini-event munch, CIPEX would like to continue to hold these on a semi-regular basis. Next one has been proposed for February/March. Ideas will be developed during munch for what members would like to see.

Hotel contract has been signed. Information is now available for
attendees on the event website.

$49/night for Friday and Saturday

Meeting room at host hotel is free for Friday night’s Meet and Greet.

Reservations can be made under CIPEX or Mischief in May

lunaKM will write up a “press release” for all interested members and
volunteers to cross-post in forums and lists.

We are still looking for one more presenter for Mischief in May.
Presenter will need to give 2 classes. Joy has an idea for a possible
presenter out of Chicago; she will contact Ms Robin that information.

Attendance – 71 people

Demo was very well received. People watched Steven at the fire table all
night long.

Knife Vendor enjoyed. Vendor will be asked to vend at Mischief in May.

KM and lunaKM requested that the rules presented at the opening of the
party remind people that the “don’t touch other people’s toys” extends to
people as well. Self policing will be easier if they are reminded before
hand.

Next play party will be January 5th, 2012.

Item 4: Safe Call Program

Added Mstr J and Kristyn to Safe Call Program.

Updated brochure will be sent to Ms Robin for future reprinting.

Item 5: Mentoring Program

Requests to start brainstorming how this would work.

Need to establish structure and organization.

Any volunteers to be on the committee will be sought after on the list.
(lunaKM will write announcement.)

Item 6: Novices Gateway Program

Program will help novices and those new to the lifestyle feel comfortable
with who they are and meetings will aid them learn what being kinky means.

Expect low numbers for better connection to mediators.

Thursdays look like a good day.

Volunteers will agree on a date and find location.

Item 7: Cuffs Can Play

Mstr J has offered to keep location open from 3-3:30pm on Munch days for
Cuffs members to have some play time and learn technique.

Item 1: Fundraising

It was discussed and decided that CIPEX would start having goodwill donations at all CIPEX functions. I jar or bucket would be left at the door for those who wanted to help CIPEX financially provide the presentations, events and activities that have been requested as well as pay for group expenses.
Item 2: CIPEX Provides…

Board covered new and existing programs that CIPEX provides its members. Reminder will be posted about safe call program as well as working to give members even more services. Will work on mentoring program in November’s meeting.

Item 3: Play Parties

Fetish Nights will continue to be held in the current location and CIPEX members will have the same RSVP and fees to attend however there will be no profit for CIPEX as we have struggled in the past year to make the attendance requirement. Location Host will make all income on party attendance for now.
Item 4: Mischief in May Pricing

Pricing for MinMIII has been proposed and decided.

Early Bird Pricing – $30 / individual and $50 / couple until 11-30

Regular Pricing – $35 / individual  and $60 / couple until 1-31

Late Pricing – $40 / individual  and $70 / couple until 3-31

Procrastinator Pricing – $45/ individual and 80/couple until 5-12

Special day passes and party passes will be available 2-1 to 5-12

Cost will be $25 per pass, whether it is for the classes or the party.

Meal plan option looks to be about $20. Still deciding this option.
Item 5: Mischief in May Accommodations

Hotels in the area have been priced and 2 have been decided as sufficient for MinMIII needs. Will confirm rates and book room blocks for attendees. One hotel also offered us the use of their conference room for free with room block contract. We will use this for the Friday Meet and Greet
Item 6: Mischief in May Sound

Location microphone rental is $100 with a $21 fee. May look for freelance or group member to be DJ with own equipment.

Item 7: Mischief in May Website

KM and LunaKM announced that the website was live for people to visit at http://www.mischiefinmay.com. The registration system has yet to be made, but will be taken care of momentarily. Plans to accept checks and Money Orders at events and through the mail, Credit Cards at events are in the works until a CC processor can be acquired.
Item 8: Nominations for Next Year’s Board

November is the time to fill openings on the board. Current members and liaisons can suggest people, as well as others nominating themselves. Voting and decisions will be made at November Board meeting.
Item 9: November Board Meeting

November’s Board Meeting will meet at 11:30am. All current board members and liaisons are strongly encouraged to attend since it is a voting meeting.

Item 1: Play Parties

Attendance is too low, we have not reached the required attendance to make any money off of the event. The Rock has offered to continue to host BDSM-oriented play parties every other month as a joint venture with them. No group profit would be gained by these parties.

Next joint party is in November.

Raising money for Mischief in May is not feasible through play parties.

Discussed whether group has a need for play parties in its current position and how to get people to attend them. Tabled after a short discussion.

Item 2: Fundraising

Raised ideas to bring in money for the group to provide for improvements and education and events. This was just an idea gathering meeting and will be revisited in October.

Need survey to see what might be needed for group improvements.

Item 3: Mischief in May

Venue deposit check has not been processed. MsRobin will follow up with venue coordinator this week.

We have three confirmed presenters for Mischief in May. Will ask 2 if they are willing to host 3 classes, with the 3rd person hosting 2.

Discussed and approved an idea to host an open D/s roundtable just before dinner as a class, bringing our offerings to 9 educational opportunities. Doms would meet in one room and subs would meet in another. We will have mediated discussions about any topic or specified topic.

Item 4: Mischief in May website

Progress is being made on website. Sponsor levels decided upon. shawnee volunteered to be committee chair for Sponsors.

Need refund and privacy policy for website before seeking web merchant and payment gateway accounts. shawnee will find IML docs for examples to use.
